Manage default document templates available to your team.

Default Documents

Organization admins can set default document templates that appear for all users. These templates provide a consistent starting point for common documents like proposals, contracts, and follow-up emails.

Setting Defaults

  1. Go to Settings → Docs
  2. Browse or search the available templates
  3. Toggle templates to mark them as organization defaults
  4. Save

Default templates appear at the top of the template picker across the platform.

Document Library

The document library is where all your organization’s templates live.

Viewing Templates

The library displays all templates with:

  • Name — the template title
  • Type — the document category (proposal, contract, email, etc.)
  • Created By — who authored the template
  • Last Updated — when it was last modified

Adding Templates

  1. Click Add Template
  2. Choose the document type
  3. Name the template
  4. Build the template content using the editor
  5. Save

Template Variables

Templates support dynamic fields that auto-fill with data from your records:

  • Contact fields — name, email, company, title
  • Deal fields — value, stage, close date
  • Organization fields — company name, address
  • User fields — sender name, signature

Insert variables using the variable picker in the template editor.

Template Assignment

Assign default templates by use case so the right template appears in the right context.

Per-Context Defaults

Set which template appears first when users create:

  • Proposals — default proposal template
  • Contracts — default contract template
  • Follow-ups — default follow-up email template

User Overrides

Individual users can set personal default templates that override the organization defaults. Personal defaults only affect that user’s experience.

  1. Go to personal settings
  2. Select preferred templates per document type
  3. Save

Frequently Asked Questions

Can I restrict who can create templates?

Template creation follows role permissions. Admins and Managers can create organization-wide templates. Members can create personal templates only.

What happens if I delete a default template?

The default assignment is removed. Users will see the next available template or no default. Documents already created from the template are not affected.

Can I share templates between organizations?

Templates are organization-specific. To reuse a template, export it and import it into the other organization.
