Mission 4: Connect Your Tools

Connect Your CRM

  1. Open Integrations

    Go to Settings —> Integrations. You will see available integration cards for Salesforce, HubSpot, and other tools.

  2. Select your CRM

    Click Connect on either Salesforce or HubSpot. You will be redirected to your CRM’s authorization page.

  3. Authorize access

    Log in to your CRM and approve the permissions graph8 requests. These permissions allow graph8 to sync contacts, companies, and activities bidirectionally.

  4. Configure sync settings

    After authorization, you return to graph8. Review the sync settings:

    • Contact sync direction: Bidirectional is recommended
    • Activity logging: Enable so calls and emails appear in CRM
    • Field mapping: Review which graph8 fields map to your CRM fields
  5. Trigger initial sync

    Click Sync Now to start the first sync. Depending on your CRM data size, this takes 5-30 minutes.


Connect Your Mailbox

  1. Open Mailbox settings

    Go to Settings —> Mailboxes and click Add Mailbox.

  2. Choose your provider

    Select Google Workspace, Microsoft 365, or Other SMTP depending on your email provider.

  3. Authenticate

    For Google or Microsoft, click the provider button and authorize via OAuth. For SMTP, enter your server details, email, and app password.

  4. Set sending limits

    Configure your daily send limit. Start conservative:

    Account ageRecommended daily limit
    New mailbox (< 2 weeks)20-30 emails/day
    Warming (2-4 weeks)30-50 emails/day
    Established (4+ weeks)50-100 emails/day
  5. Send a test email

    Click Send Test Email to verify delivery. Check that it lands in the inbox (not spam) of the test address.


Connect Your Calendar

  1. Open Calendar settings

    Go to Settings —> Integrations and find the Calendar section. Click Connect Calendar.

  2. Authorize access

    Select Google Calendar or Microsoft Outlook and complete the OAuth flow. graph8 reads your availability and can create events on your behalf.

  3. Set your availability

    Configure your meeting availability:

    • Working hours: Set the hours you are available for meetings
    • Buffer time: Add buffer between meetings (15 minutes recommended)
    • Meeting types: Create templates for different meeting lengths (15 min intro, 30 min demo)
  4. Test a booking link

    graph8 generates a booking link you can include in outreach. Click Preview to test the booking flow and confirm your availability appears correctly.


Verify Everything Is Connected

  1. Check the Integrations dashboard

    Go to Settings —> Integrations. Each connected tool shows a green Connected status badge. If any show a warning or error, click into the integration to troubleshoot.

  2. Verify CRM sync

    Go to Data —> Contacts and spot-check a few contacts. Open a contact that exists in your CRM and confirm the CRM fields (like CRM ID or last activity date) are populated.

  3. Verify mailbox

    Go to Settings —> Mailboxes. Your mailbox should show Active status with a green indicator. If it shows Disconnected, re-authenticate.

  4. Verify calendar

    Go to Engage —> Appointments and confirm your calendar is listed with available time slots showing.


Mission 4 Complete

Your CRM, mailbox, and calendar are connected. Activities sync automatically, emails send from your real address, and prospects can book meetings directly.
